What you will achieve
Enable OneDrive folder backup so Desktop, Documents, and Pictures sync to the cloud automatically on Windows 11/10.
1) Turn on Known Folder Move
- Click the OneDrive cloud icon in the system tray → gear → Settings.
- Open the Sync and backup tab → Manage backup (or Backup in older clients).
- Toggle Desktop, Documents, and Pictures on, then confirm folder relocation if prompted.
2) Verify sync status
- Files show green checkmarks when fully synced. Blue cloud icons mean online-only until opened.
- Open OneDrive folder in File Explorer — paths remain familiar (e.g.
C:\Users\you\Documents) but content syncs to OneDrive.
3) Storage and account limits
- Check quota at onedrive.com or Settings → Accounts → Storage in the OneDrive app.
- Large media libraries may need a paid plan or selective sync — right-click folders → Free up space for online-only copies.
4) Restore a file from OneDrive web
- Sign in at onedrive.com, browse to the file, right-click → Version history or restore from Recycle bin (30-day default).
- OneDrive is not a full system image — pair with system image or File History for OS-level recovery.
5) Exclude large folders from sync
- Right-click heavy folders (VMs, video projects) → Free up space or move outside known folders.
- Known Folder Move redirects paths — plan folder structure before enabling on multi-terabyte libraries.
6) Personal Vault and ransomware
- Enable Personal Vault for sensitive docs — separate authentication layer on top of sync.
7) Multi-user PC caveat
- Known Folder Move is per Microsoft account — switch users means separate OneDrive roots; plan shared family PC folders accordingly.
8) Files On-Demand
- Enable Files On-Demand in OneDrive settings — cloud-only files save disk space on laptops with small SSDs.
- Right-click folder → Always keep on this device before flights without internet.
Verification checklist
Sign in onedrive.com and confirm Desktop file appears within sync interval. Test opening online-only file on metered connection — should download on demand.
- Reboot once after changes that affect services, drivers, or firmware.
- Confirm the original problem is resolved under normal daily use, not only immediately after the fix.
- Note date, Windows version (Settings → System → About), and what changed in your personal runbook for next time.
